AI Automation · Productized

Hire an AI Digital Employee,
  not another headcount.
========================================================

We build AI workers that do the repetitive parts of your operation. Invoices, CVs, tickets, order tracking, data entry. Your first one runs live inside 30 days, on the systems you already use.

Your team isn’t slow. They’re spending Tuesday copying numbers between two systems that should have spoken to each other years ago. We fix that with software instead of another job advert.

Thirty minutes. We’ll name the process we’d automate first, and tell you if it isn’t worth doing.

Two-part money-back guarantee. Live by the agreed date, or you don’t pay for the build.

Monday, 9:12am, somewhere in your finance team
------------------------------------------------

Someone opens the shared inbox. Forty-one new invoices since Friday, in six different formats, from suppliers who each have their own idea of what an invoice looks like. Three are duplicates. One is in euros and nobody is certain which rate to use.

They start typing. Line by line into the accounting system. They will be doing this at 11:30, and again on Wednesday when the next batch lands.

Nobody hired them to do this. It sits in the job description under something vague, and it eats a day and a half a week.

Your team isn’t the problem. Nothing in their week was designed.

   Three moments from your week
------------------------------

9:47am, Tuesday

Your ops lead is in a spreadsheet, checking which of yesterday’s shipments actually moved. The carrier portal doesn’t talk to your system. It never has.

2:15pm, Wednesday

Someone in HR opens CV number sixty-one. They have been reading for two hours. The good one was number nine and they are no longer sure they would recognise it.

4:58pm, Friday

Your finance manager is building the same report they built last Friday, from the same four exports, for a meeting on Monday.

Every one of these is a rules-based task being done by someone with judgement. That is the expensive way round.

Your most expensive people, on your cheapest work
---------------------------------------------------

Run the arithmetic on one person. Say they are on 70,000 a year. Add employer contributions, pension and overheads and you are near 87,500 a year, near 1,680 a week.

If two days of that week go on copying, checking and chasing, you are spending roughly 35,000 a year for one person to do work that does not need a person.

Now multiply by everyone on your team doing the same thing.

That is an example, not a client result. Put your own numbers in below and get the real figure.

Ten jobs a Digital Employee already does
------------------------------------------

Every one of these runs on rules your team already follows. They are just following them by hand.

Marked “shipped” means we run it in our own products today, not that we have read about it. Everything else we build the same way we built those.

We work in fintech, insurance, retail, hospitality, logistics and travel, where the rules are strict and the paperwork is worse.

### Your assumptions

These are your numbers, not a case study. We have made no assumptions you cannot see and change above. The maths assumes a 46-week working year and a 40-hour week.

### Want this as a one-page report you can send to your CFO?

We will email it with a breakdown of the working, which parts we would automate first, which parts we would leave alone, and the answers your security team will ask for.

What a Digital Employee actually is
-------------------------------------

Not a chatbot. Not a subscription to someone else’s tool. A piece of software we build for one job in your operation, that runs on a schedule or a trigger, reads from the systems you already have, does the work, writes the result back, and asks a human when it isn’t sure.

01

### It watches

A folder, an inbox, a queue, a webhook. Whatever already signals that work has arrived.

02

### It reads

PDFs, scans, emails, spreadsheets, API responses. It pulls out the fields that matter, in the language they arrive in.

03

### It acts

Writes to your system, sends the reply, updates the record, files the document.

04

### It escalates

Below the confidence threshold you set, it stops and hands the item to a person with its reasoning attached. Every action is logged.

Step four is where most AI projects fall over. It is the one we design first.

Live in 30 days. Here is the calendar.
----------------------------------------

One process, into production, led by a senior engineer with CTO-level review.

1. 1

    Week 1

    ### We find the work

We sit with the people doing the process and map what actually happens, not what the process document says. You get the ranked shortlist and your cost model at the end of the week. If nothing on that list is worth automating, we tell you and you keep the audit.
2. 2

    Weeks 2–3

    ### We build it

We build your first Digital Employee against a copy of your data, read-only by default, with every access scope agreed in writing first. You see it working before it touches anything live. Roughly four hours of your team’s time across the fortnight.
3. 3

    Week 4

    ### It goes live, and we watch it

It runs alongside your team first, so you can compare its output to theirs. Once you’re satisfied, it takes the process. We monitor and fix through the Watch Period, then hand you the code, prompts, docs and runbook.

Your team’s total time commitment across the month is about four hours, mostly answering questions about how the process really works.

   The Digital Employee Programme
--------------------------------

Everything below is included. There is no price on this page, because the scope depends on your process. You get a fixed fee in writing after the call, before you commit to anything.

1

### The Manual Work Audit

Every repetitive process in the target function, ranked, with a straight automate-or-don’t verdict on each.

2

### The Hours & Cost Model

Your payroll and volumes turned into one page your CFO can approve from.

3

### The First Digital Employee, Live

One process, in production, on your systems, inside 30 days.

4

### The Accuracy & Escalation Design

Confidence thresholds, human review queue, full audit trail, and a defined fallback for when it doesn’t know.

5

### The Security Pack

SOC 2 Type II report, DPA, data residency, retention and deletion policy, and a pre-filled vendor questionnaire for your InfoSec team.

6

### The Handover Kit

Code, prompts, configuration, architecture notes and runbook. Yours to keep, with or without us.

7

### The Watch Period

Monitoring and fixes after go-live, included.

8

### The Team Briefing

A note you can forward, explaining in plain English what changes for the people doing the work.

9

### The Next Three

The following three automations, sequenced, with effort and impact against each.

10

### The Two-Part Guarantee

Set out in full below, and written into the contract.

We start a limited number of these each month, because a senior engineer leads every one. If this month is taken, we will tell you on the call and book you into the next start date.

[Book a call and check availability](https://calendly.com/a2zweb?utm_source=a2zweb&utm_medium=website&utm_campaign=book_call&utm_content=ai_digital_employees_stack)

Two guarantees, both in the contract
------------------------------------

Stage one

If the Manual Work Audit doesn’t leave you with a clearer picture of where your team’s hours go than you had when you started, we refund the audit fee. No conditions.

Stage two

If your first Digital Employee isn’t live and running the process we agreed, at the accuracy threshold we agreed, by the date we agreed, you don’t pay for the build. We will finish it anyway.

Two conditions, and we will put both in the contract: you give us the system access we scoped in writing, and you keep the process definition the same as the one we signed off. Change the process mid-build and we will re-agree the date with you rather than quietly miss it.

   Why A2Z Web
-------------

The techniques we would use on your process are the ones already running in our own products.

01

### We build AI products, not just AI projects

SharpAPI parses invoices across 8 file formats, 80+ languages and multiple currencies, returning over 100 structured fields, with SDKs for PHP, Laravel, Node, Python and .NET. CVMatchScore scores CVs against job descriptions. BrandGEO tracks brand visibility across ChatGPT, Claude, Gemini, Grok and DeepSeek.

02

### SOC 2 Type II certified

Security, Confidentiality and Availability. The report is available through our trust portal, and your InfoSec team can read it before your first call with us.

03

### 10+ years, senior only

No juniors billed at senior rates. Every programme is led by an engineer who has shipped and run production systems, with CTO-level review.

04

### We work where the rules are strict

Fintech, insurance, retail, hospitality, logistics and travel. Regulated paperwork is the normal case for us, not the exception.

05

### A real path forward

After the first Digital Employee you can take the runbook in-house, keep us on support, or hand us the next three. Your call, and you own the code either way.

What your security team will ask
----------------------------------

Answered here, so you do not have to chase us for them three weeks into procurement.

### Where does our data go?

We design for your data staying in your systems wherever the process allows. Where processing has to happen outside them, we agree the location with you in writing before anything moves. Our own products store customer data on EU-based servers in Germany.

### Does it train someone’s model?

No. Our AI providers operate under Data Processing Agreements and do not use submitted data for model training.

### How long is anything retained?

Retention is agreed per engagement and written into the contract. In our own products, submitted data is held for up to 30 days for abuse prevention, then deleted.

### Are you certified?

SOC 2 Type II, covering Security, Confidentiality and Availability. The report is available through our trust portal, and we send it before you sign anything.

### What access do you need?

Read-only by default. Every access scope is agreed in writing before we touch a system. Nothing that writes or deletes happens without your explicit sign-off.

### Who owns what you build?

You do. Code, prompts, configuration and documentation are handed over as part of the programme.

[ Open our trust portal ](https://trust.a2zweb.co/)

The things you are still worried about
----------------------------------------

### “AI gets things wrong.”

It does. That is why the escalation design comes before the build. You set the confidence threshold, anything below it goes to a human with the reasoning attached, and every decision is logged. The Digital Employee handles the routine ninety percent and knows when to stop.

### “Our systems are ancient.”

Most are. We integrate with APIs, databases, file drops, email, and screens when there is no other way in. Nothing gets replaced.

### “We tried an AI pilot and it went nowhere.”

Usually because it was a demo rather than a process. We build one process and put it into production. If it is not live by the agreed date, you do not pay for the build.

### “My team will think this is about redundancies.”

It is about the two days a week they are spending on work they did not sign up for. We give you a briefing note you can send them, written for them rather than for you.

### “Who fixes it when it breaks?”

We do, through the Watch Period. After that you can take it in-house with the runbook, or keep us on support. You will have the code either way.

### “We don’t have engineers to spare.”

You need about four hours from the people who know the process. We do the rest.

   Frequently asked questions
----------------------------

Everything you probably want to ask before booking the call.

  ### What exactly is an AI Digital Employee?

Software we build for one job in your operation. It runs on a schedule or a trigger, reads from the systems you already have, does the work, writes the result back, and hands anything it isn’t confident about to a person. It isn’t a chatbot and it isn’t a subscription to someone else’s tool.

   ### How long until the first one is live?

Thirty days from kickoff for the first process, with the ranked shortlist and cost model landing at the end of week one. Complex regulated processes can run longer, and we say so on the call rather than after you sign.

   ### What does it cost?

We don’t publish a number, because the scope depends on which process you pick and how messy its inputs are. You get a fixed fee in writing after the call, before you commit to anything, and the two-part guarantee sits behind it.

   ### AI gets things wrong. What happens then?

You set the confidence threshold. Anything below it stops and goes to a person with the reasoning attached, and every decision is logged. We design the escalation path before we build the automation, not after.

   ### Which systems do you integrate with?

APIs, databases, file drops, email, and screens when there is no other way in. Common ones include Xero, QuickBooks, NetSuite, Sage, SAP, Salesforce, HubSpot, Zendesk, Greenhouse, Microsoft 365 and Google Workspace. Nothing gets replaced.

   ### How do you handle our data, and are you certified?

SOC 2 Type II, covering Security, Confidentiality and Availability. The report is available through our trust portal and we will send it before you sign anything. Access is read-only by default and every scope is agreed in writing first.

   ### What happens to the people currently doing this work?

They stop spending two days a week on work nobody hired them for. We give you a briefing note written for them rather than for you, so the change doesn’t arrive as a rumour.

   ### Who fixes it when it breaks?

We do, through the Watch Period after go-live. After that you can take it in-house using the runbook or keep us on support. You have the code either way.

   ### Do we own what you build?

Yes. Code, prompts, configuration and documentation are handed over as part of the programme. Nothing is locked to us.

   ### We tried an AI pilot before and it went nowhere. Why is this different?

Most pilots are demos rather than processes. We put one process into production on a fixed clock, and if it isn’t live by the agreed date you don’t pay for the build.
